Introduction

We are very happy that you want to use Docuspace. We want to be your favorite platform for storing, editing and sharing files. In order to provide a service that works correctly, we need to collect and process some information related with you or your company. We take a lot of care for handling your information properly and only use it when needed to provide our service to you.

In this document we will explain to your the type of information that we collect and how we will handle it. We will also explain some other things related with that information.

You are not allowed to use Docuspace unless read and accept our privacy policies.

What type of information do we collect and what for?

This is the information related with you that we collect and store at Docuspace:

  • Your email. You use it to create your account and log in, so it is the main identifiers of your.
  • account. It is also used in case we need to contact you. You can provide more than one email addresses as identifiers of your Docuspace inbox.
  • Your name. It is optional, if you want us to call you by your name.
  • Your files. In case you upload files to Docuspace, they will be stored in our servers.
  • Your contacts. Some of our interfaces, like the mobile app, will ask you permission to access your contact list, so that you can easily share files with them. We will never store in our servers information related with your contacts, unless you start a conversation with some of them, in which case we will need to store the name of the participants of the conversation and the email address or the phone number that allows us to deliver your message.
  • Your billing information. In case you upgrade your account to a paid subscription, we will need to know and store your country of residence, since we will need it for tax purposes when declaring our revenue to our country's administration. If you also need an invoice related to your payments, you will have to provide some extra information and we will store it: legal name, legal address, contact information, VAT number (Tax ID), phone number, zip code, city and country.
  • Banking information. In case you want to pay for a premium subscription, you will need to provide a debit/credit card number or a bank account number. We WON'T store your banking information, as we will explain later. We use an online payments processing platform called Stripe, one of the most trusted in the world, and only they will know your banking information.
  • Information of use. We use analytic tools in order to know how people use our software that help us to improve Docuspace and find errors. We also use that information in order to decide which features to add in the future. That information is stored anonymously.
  • Device data. Sometimes we will collect information about the devices you use to access Docuspace. This allows us to understand what devices are more popular among our users, so we can give priority to make Docuspace work perfectly on those devices. For instance, we might need to know from which type of web browser you access Docuspace, or from which mobile operating system you use our app, etc.
  • Cookies and local storage. Our interfaces store some information locally in your device, so they can remember things from your previous access. Let's say that you used Docuspace yesterday, and today you turn on your computer. In case it is still you, the interface will need to remember some things in order to make it easier for you.

As a general rule, Docuspace won't analyze nor read your files, so if you include any type of personal information related with you or other people in the files you store on Docuspace, we won't consider it as personal information, and thus we don't handle it as such. You must be very careful not to upload files that include personal information, whether if it's related with you or other people, since you will be the sole responsible in case the content of your files infringes any copyright or privacy right.

When will we get in contact with you?

There are some situations in which we will need to contact you, sometimes via email and some others via notifications through our interfaces (website, app, etc.). Those situations are:

  • Notifying changes in your account or your subscription.
  • Notifying scheduled service interruption.
  • Informing about new features of Docuspace.
  • News, promotions and useful tips for Docuspace users.

You will be able to enable/disable notifications from your private area of Docuspace. Nevertheless.

we keep the right to contact you whenever it is strictly necessary to inform you about changes or issues in your account or your subscription.

Cookies

A cookie is a small text file that is stored on a user‟s computer for record-keeping purposes. We use cookies on this site. We do not link the information we store in cookies to any personally identifiable information you submit while on our site.

We use both session ID cookies and persistent cookies. We use session cookies to make it easier for you to navigate our site. A session ID cookie expires when you close you browser. A persistent cookie remains on your hard drive for an extended period of time. You can remove persistent cookies by following directions provided in your Internet browser‟s “help” file.

We set a persistent cookie to store your passwords, so you don‟t have to enter it more than once.

Persistent cookies also enable us to track and target the interests of our users to enhance the experience on our site.

If you reject cookies, you may still use our site, but you will be asked to enter your username and password again every time you closed your browser or your session has timed out.

This privacy statement covers the use of cookies by Docuspace only and does not cover the use of cookies by any advertisers.

Log Files

As is true of most Web sites, we gather certain information automatically and store it in log files. This information includes internet protocol (IP) addresses, browser type, internet service provider (ISP), referring/exit pages, operating system, date/time stamp, and clickstream data.

We use this information, which does not identify individual users, to analyze trends, to administer the site, to track users‟ movements around the site and to gather demographic information about our user base as a whole.

We do not link this automatically-collected data to personally identifiable information. IP addresses are tied to personally identifiable information to prevent and block abusers to keep using our services such as members who violates our terms of service.

We use a third-party tracking service that uses cookies and log files to track non-personally identifiable information about visitors to our site in the aggregate of usage and volume statistics to determine how our users navigate through our website and to know how many users are using our services demographically.

The Way We Use Information

We use the information you provide about yourself or others to complete the transaction for which it is intended. This may include administering a service such as registration, email, forum, etc., or contacting you if you have indicated your permission to do so by agreeing to accept further notification and service announcement from us on your member profile page. You can choose to opt-out of receiving any further notification from your member profile page. We do not share this information with outside parties without your permission.

Who can we share the information with?

Your information is in good hands, we do a lot of effort to handle it with care and avoid anyone to make bad use of it. Some parts of Docuspace are available thanks to some third party solutions, since we believe that the companies who develop those solutions can do it better and safer than us, because that's their main focus.

Here's the list of our technology providers, explaining what they provide and what information we share with them:

  • Google Analytics. As most of the websites in the world, we use this tool provided by Google sothat we can analyze how people use our service. That way we can and out if something iswrong and also know what features are preferred by our users, know from what devices people use Docuspace, etc. Thanks to that, we can improve day after day. We don't share personal information with Google, just anonymous information like your IP address, the version of your Internet browser, the operating system that you're using, data of how you use our interface, etc.
  • Nextcloud. is open source file sync and share software. We install and host the nextcloud application on our servers and we makes sure you stay in control over your data. Nextcloud GmbH collects some anonymous website usage statistics, but its apps send no information to the company.
  • Stripe. It is one of the most trusted online payments processing company in the world. We use their platform for managing paid subscriptions and payments. We share with them the information needed to process payments in case you want to upgrade to a paid plan. In fact, there's some information like credit card or bank account numbers that are stored directly by them and we don't even have access to it.

Your rights to edit or delete the information

Here's the list of our technology providers, explaining what they provide and what information we share with them:

  • Remove your files.
  • Access, edit and remove your contact information.
  • Totally remove your Docuspace account, and thus all the information related to you.

In case you make any payment of one of our paid subscriptions and decide to remove your personal information or your whole account, we will keep the minimum information so that we can identify the payment, due to legal reasons. If you've ever asked for an invoice related to your payment, we will keep a copy of that invoice.

Personally identifiable information

Docuspace does not share, sell, rent, or trade PII with third parties for their promotional purposes except with your consent as described in this privacy policy.

Finally, we never use or share the personally identifiable information provided to us online in ways unrelated to the ones described within this privacy policy without also providing you an opportunity to opt-out or otherwise prohibit such unrelated uses.

How You Can Access Or Correct Your Information

You can access all your personally identifiable information that we collect online and maintain by logging into your password-protected account and selecting to update your Profile or Personal Info. We use this procedure to better safeguard your information. You can also correct factual errors in your personally identifiable information by sending us a request that credibly shows error. To protect your privacy and security, we will also take reasonable steps to verify your identity before granting access or making corrections.

Specific Terms and Conditions

Docuspace considers email transmitted via our service to be the private correspondence between the sender and recipient. We will not monitor, edit or disclose the contents of a user`s private communications, except as required by law, to comply with legal process, if necessary to enforce the Service Agreement, to respond to claims that such contents violate the rights of thirdparties, or to protect the rights or property of Docuspace. By using the service you agree that technical processing of email communications is and may be required to send and receive messages, to conform to the technical requirements of connecting networks, to conform to the limitations of the Service, or to conform to other, similar technical requirements. By using the service you acknowledge and agree that Docuspace do not endorse the content of any user communications and are not responsible or liable for any unlawful, harassing, libelous, privacy invading, abusive, threatening, harmful, vulgar, obscene, tortuous, or otherwise objectionable content, or content that infringes or may infringe the intellectual property or other rights of another.

We reserve the right to disclose your personally identifiable information as required by law and when we believe that disclosure is necessary to protect our rights and/or to comply with a judicial proceeding, court order, or legal process served on our Website

Security

The security of your personal information is important to us. We follow generally accepted industry standards to protect the personal information submitted to us, both during transmission and once we receive it. No method of transmission over the Internet, or method of electronic storage, is 100% secure, however. Therefore, while we strive to use commercially acceptable means to protect your personal information, we cannot guarantee its absolute security.
